Frequently Asked Questions – Australia-Indonesia Institute Grants Program 2025-26 Grants Round

1. Is there an application form or application template for this grant opportunity?

Yes. Refer to Section 7 - How to Apply on page 13 of the Grant Opportunity Guidelines. The application form is in Smarty Grants. Click on the red 'Submit application button' on the GrantConnect Opportunity webpage to reach Smarty Grants.

2. Is there a reference template for referees to complete?

No. Refer to Criterion 4 in Section 6 - The Assessment Criteria and Section 7.1 - Attachments to the Application on pages 12-13 of the Grant Opportunity Guidelines for further details around reference requirements.

3. Will the Australia-Indonesia Institute review my Expression of Interest / Letter of Intent / proposal now and advise if it is within scope of this grant round?

The Australia-Indonesia Institute is unable to review proposals outside of the grant application process. We suggest you carefully review the Guidelines and our website to assess if your proposal meets the Australia-Indonesia Institute's objectives and key themes before deciding whether to apply.

4. Do Indonesian applicants need to provide an ABN/ACN?

No. This is a requirement only for Australian applicants.

5. The form asks for "a short letter of support from your Research Office or equivalent." My project will be administered through an organisation, which is not affiliated with a university. In this case, should I still provide a letter from a Research Office?

If your organisation is not a university, you are not required to provide a letter from the university's Research Office. You may still wish to include a letter of support from your organisation or an organisation capability statement in your application. Refer to Criterion 4 in Section 6 - The Assessment Criteria and Section 7.1 - Attachments to the Application on pages 12-13 of the Grant Opportunity Guidelines for further details.

6. Can an Indonesian university act as the lead organisation for a consortium grant application that includes Australian entities as partners?

Please review Appendix B. Grant Eligibility Checklist on page 28 of the Grant Opportunity Guidelines. Note an Indonesian university would be classified as an organisation, so would be considered eligible. However, please thoroughly review all the Guidelines, noting this includes other relevant eligibility criteria.

7. Can Indonesian government employees apply for a grant as an individual, in a personal capacity?

No, Indonesian government employees and representatives are not eligible to apply. Note: Indonesian universities are permitted to apply.

8. If we have co-funding from external partners, is there any flexibility to the rule that travel and accommodation costs must not exceed 50% of the total funding requested?

In Section 5.2 Eligible expenditure on page 9, the Guidelines state: "Note: travel and accommodation costs must equal less than 50% of the total proposed DFAT grant funds requested for your application to be considered competitive. This 50% is not calculated on the total of any cash/in-kind contributions and grant funds requested." There is no flexibility to the rule that no more than 50% of the total DFAT grant funds requested may be allocated to travel expenses.

9. I have several different ideas for grants I'd like to propose. Can I submit two or more applications?

Yes, multiple applications are permitted.

10. Can two entities be the lead for an application submission?

Refer Section 7.2 – Joint (consortia) applications on page 14 of the Guidelines: "If you are submitting a grant application on behalf of a consortium, a member organisation or a newly created organisation must be appointed as the 'lead organisation'. Only the lead organisation can submit the grant application form." It is up to the applicant to decide the lead organisation.
