DFAT08-SWE-030 - Request for Tender for the Provision of a Cultural Program for the Australian Pavilion at the Shanghai World Expo 2010

Addendum 5: 19 September 2008

Q1.  Will there be any VISA fee exemptions given the involvement of DFAT at the Expo?

A1. The visa application process is outlined in the guidelines issued by the bureau, DFAT will assist in facilitating the visas from the bureau. Any costs for visas will need to be funded from the contract fees.

Q2.  Will the general office services be shared and at a charge back basis? Or should we budget to supply our own computer, printer etc?

A2. Basic office services including computers and printers will be provided by DFAT.

Q3.  Does the greenroom include the availability of tea/coffee making facilities or is this something the successful tenderer needs to supply?

A3.  Basic services including tea and coffee facilities for staff/visting performers will be provided by DFAT.

Q4. In Schedule 5, Item 7 it states that DFAT will consider feedback from audience, stakeholders and performers. Will DFAT be conducting this research with their own market research company or is it an item for the Tenderer to consider in the budget?

A4. DFAT has a company that will conduct evaluation services. The contractor will be required to contribute to any additional costs incurred as a result of cultural program specific market research questions. Evaluation services will be provided at no cost.

Q5. We are in the process of completing the tender document and had a question relating to the Tenderer’s declaration which states “The Tender remains open for acceptance until [insert date], being [insert number] months from the Closing Time.” What dates do we need to include here?

A5. Section 2.5 of the RFT requires that tenders remain valid for at least 180 days. Tenderers may choose to leave their tender valid/open for a longer period. In any case the dates and months offered should be included in the tenderers declaration.

Q6.  We are in the process of completing the tender document and had a question relating to the Tenderer’s declaration which states “The Tenderer acknowledges receipt of addenda numbers [insert addenda numbers].” What addenda numbers that we were to have received? 

A6. The Addendum referred to are those that were posted on the DFAT website (http://www.dfat.gov.au//tenders/DFAT08-SWE-030/). There are four there at the time of writing but this number may increase prior to tender submission on 3 October.
