Further Information for Tenderers
1. PC Sums
The following PC Sums are to be included in the Tender submission.
- Making good to ceiling tiles: $25,000
- Amendments to PA system (As per NDY documentation): $10,000
- Joinery unit J.011: $7,500
- Joinery unit J.012: $7,500
2. Construction Staging
Due to the Australian Passport Office being fully occupied during construction the works will be staged to ensure the business can remain operational as the works are taking place.
A maximum amount of 8 staff can be relocated from the open plan office space at any one time. The existing Training Room will be used to provide temporary accommodation as the existing carpet and workstations are removed and new workstations and carpet are installed.
An indicative Construction Stage is outlined below
- Australian Passport Office to relocate staff into training room (Head Contractor to assist in relocation process as required)
- Contractor to decommission, demolish and remove existing workstations.
- Contractor to coordinate carpet contractor (nominated) to remove carpet and relay new carpet tiles.
- Contractor to coordinate installation of new workstations
- Contractor to coordinate commissioning of new workstations (power and data)
- Final clean, defects and handover
- Australian Passport Office to relocate staff from Training Room back to new workstations (Head Contractor to assist in relocation process as required)
Contractors are to allow for 9 individual construction stages (as per sequence above) to the open plan office area.
The other works to the open plan office area (partitions, joinery, painting etc.) can occur during normal working hours. Note: Any noisy works are to be done out of hours.
Contractors are to allow for all necessary labour, materials and allowances required to accommodate the staged construction process including providing an adequate physical barrier at all times between the “work area” and the occupied office area. (ie. temporary hoarding/ barrier)
The reception/ waiting area is to be constructed outside of normal working hours.
3. Trade Contractor Approval
Subcontractors for the following trades must be submitted to HBO+EMTB for approval prior to being engaged.
- Workstations
- Electrical Services
- Mechanical Services
- Fire Services
4. Building Approval/ Certificate of Occupancy (Final Inspection)
The Principal shall provide the necessary building permit and pay the related fees. The Contractor shall pay all other fees.
The Contractor shall be responsible for ensuring the necessary Building Surveying inspections are undertaken during the project in addition to providing all the necessary documentation and certification so the Building Surveyor can issue a Certificate of Occupancy (Certificate of Final Inspection).
The Certificate of Occupancy (Certificate of Final Inspection) is a necessary requirement for the issuing of a Practical Completion certificate.
5. Separate Contract Coordination
Certain items will be arranged directly by the client/ landlord, namely:
- Loose Furniture
- Carpet removal and installation
The Head Contractor is to coordinate with these separate contractors and incorporate their activities into the overall construction program. The Head Contractor is responsible for the supervision and co ordination of these separate works. Submission of cost for the supply and installation of these items are not required as part of this tender, although overall co ordination costs are to be included in the preliminaries.
